WhatsApp campaigns

WhatsApp broadcast campaigns, the official way

A WhatsApp broadcast campaign sends an approved message template to many contacts at once, each as an individual message rather than a group. BotReply sends through the official WhatsApp Business API, targets segments of your contacts, schedules and throttles delivery, and tracks what happened to every single recipient.

What this is, and what it is not

If you are looking for a tool that blasts unapproved messages from a personal number, this is not it, and we would gently suggest you do not want one — that is the fastest route to a banned number. BotReply sends only through the official WhatsApp Business API using templates Meta has approved. It is slower to set up and considerably harder to get restricted for, and the delivery data you get back is real.

How to send a WhatsApp broadcast campaign

Four steps from an approved template to a campaign your agent follows up.

  1. Pick an approved template

Campaigns go out as message templates Meta has already approved, so you start by choosing one and setting its language. Map each variable to a fixed value or to a contact field such as their name, and attach the image, video, or document header if the template takes one.

  2. Build your audience

Send to every opted-in contact, or build a segment from tags and the dates contacts first messaged you. A live preview counts who is actually reachable — and it runs the very same query the sending engine will, so the number you approve is the number you send to.

  3. Test it, then launch or schedule

Save the campaign as a draft and fire a test to a single number to see how the template really renders. Then launch straight away or set a date and time, and pick a send speed.

  4. Watch it land, and reply

Each recipient moves through sent, delivered, read, and then replied or failed, with WhatsApp's own message ID recorded against them. Pause, resume, or cancel mid-flight — and your AI agent picks up the conversations the campaign starts.

Everything a campaign needs

Audience segmentation

Send to every opted-in contact, or to a segment built from tags and the dates contacts first messaged you, previewed before you commit.

Templates with media

Use approved templates with variables mapped to static values or contact fields, and an optional image, video, or document header.

Scheduling and test sends

Send now or at a future date and time, and fire a test to a single number first to confirm the template renders as intended.

Speed control

Choose a send speed and the campaign goes out in batches of 30, 60, or 100 with a pause between them, so a large send arrives at a pace you can handle.

Pause, resume, cancel

Campaigns are controllable after launch. Pause a send that is going wrong, resume when it is fixed, or cancel outright.

Per-recipient tracking

Every recipient moves through pending, sent, delivered, read, and replied or failed, with the WhatsApp message ID recorded.

What this looks like in practice

Every audience below is built from people who messaged the business first.

Everyone tagged customer gets the offer template the morning it opens. The ones who write back asking whether it covers a particular product are answered by your agent from your catalogue, and the order is captured in the same thread.

Retailer with a sale onRe-engaging past customers

A reminder goes to contacts tagged patient who first messaged you before the summer, scheduled for Monday at 10am. Replies asking for a slot turn into bookings without anyone sitting on the inbox.

Clinic or salonFilling next week's diary

A change of address, a festival closure, a revised price list. One template to every opted-in contact, per-recipient delivery you can actually point at afterwards, and anyone who replies STOP is excluded from everything you send after that.

Service businessSaying something once, properly

A campaign starts the conversation. Your agent finishes it.

This is the part most broadcast tools have no answer for. When a recipient replies to your campaign, the reply becomes an ordinary conversation handled by your AI agent — answering from your knowledge base, quoting real prices, and capturing the order, booking, or lead. A thousand-recipient send does not create a thousand messages nobody has time to answer.

Contacts that build themselves

Every conversation across every channel creates or updates a contact record, with the source it came from and the tags you apply. Your campaign audiences are built from people who have actually spoken to your business, not a purchased list.

WhatsApp campaigns FAQ

Templates, audiences, scheduling, and what you can measure.

What is a WhatsApp broadcast campaign?

A WhatsApp broadcast campaign sends an approved message template to many contacts at once through the official WhatsApp Business API, with each recipient receiving an individual message rather than a group thread. Delivery, read, and reply status is tracked per recipient.

Is this a bulk WhatsApp sender?

Not in the way that term is usually meant. BotReply sends only through the official WhatsApp Business API using templates Meta has approved, which is what keeps your number in good standing. Unofficial bulk senders that blast unapproved messages routinely get numbers banned, and BotReply does not offer that.

Who can I send a campaign to?

You can target every opted-in contact, or a segment built from tags and the dates contacts first messaged you. Hand-picked recipient lists are not supported — every audience is drawn from contacts who have actually spoken to your business. Recipients who have opted out are excluded automatically, and a live preview shows exactly how many people are reachable before you launch.

Can I schedule campaigns and test them first?

Yes. Campaigns can send immediately or at a scheduled date and time, and you can send a test to a single number before launching to check the template, variables, and any header media render correctly.

Can I pause a campaign after it starts?

Yes. Campaigns can be paused, resumed, or cancelled while running, and you can choose a send speed of roughly 30, 60, or 100 messages per minute to control pacing.

What can I track after sending?

Every recipient moves through pending, sent, delivered, read, and replied or failed, with the WhatsApp message ID recorded. Live counters show totals for sent, delivered, read, replied, failed, and opted out as the campaign runs.

What happens when someone replies to a campaign?

The reply becomes a normal conversation handled by your AI agent, answering from your knowledge base and capturing orders, bookings, or leads as usual. A campaign therefore starts conversations your agent can finish rather than ending at delivery.
